Your Role:

EMD Electronics is immediately hiring for On-Boarding Coordinator / Staff Admin for its MEGASYS® team in Austin, TX, and offering a $1000 Sign-on Bonus!  This is a challenging, hands-on, rewarding job opportunity for people who want to join a growing business.

Administrative lead on systems and maintaining staffing for on-boarding new employees to the site, provide support to the leadership of the site, and coordinate / facilitate the proper billing of resources for the site. MEGASYS® team in Austin, TX, provides support of the supply of chemicals and gases to a semiconductor manufacturing environment that makes the chips used in electronic devices such as Smart Phones, LED's, and Flat Screen TV's.  They will ensure compliance in operation and maintenance procedures, emergency preparedness, and drive flawless execution. Key responsibilities of the billing coordinator include:

  • Organize and schedule meetings and appointments for new employees during the on-boarding process
  • Partner with HR to maintain office policies as necessary – and support the integration of new employees into MEGASYS® team in Austin, TX.
  • Organize office operations and procedures
  • Coordinate with IT department on all office equipment and support
  • Manage relationships with vendors, service providers, and landlord, ensuring that all items are invoiced and paid on time
  • Manage contract and price negotiations with office vendors, service providers (copiers, printer and other office equipment / tools)
  • Provide general support to visitors – including escorting and scheduling
  • Responsible for creating PowerPoint slides and making presentations
  • Manage managers' schedules, calendars, and appointments
  • Responsible for managing office services by ensuring office operations and procedures are organized, correspondences are controlled, filing systems are designed, supply requisitions are reviewed and approved, and that clerical functions are properly assigned and monitored

 

 Physical Attributes:

  • Walking throughout the facility for 25% of shift (1-2 miles per day)
  • Office and light mobility escorting visitors
  • Basic lifting (up to 25lbs)
  • Bending of the knees and overhead reaching as it relates to office support

 

Who You Are:

 Minimum Qualifications:

  • Associates Degree in Business or Management
  • 3+ years experience in an administrative or office management role

 

Preferred Qualifications:

  • Bachelor’s Degree in Business or management
  • Training coordinator or On-boarding experience
  • Proficient with MS Office Suite (very strong Excel and PowerPoint)
  • Prior experience working in an office manager role or similar experience
  • Experience with systems and managing multiple inputs
  • Experience with project management and problem solving
  • Strong people person – enthusiastic
  • Excellent communication skills
  • Proven office management, administrative, or assistant experience
  • Knowledge of office management responsibilities, systems, and procedures
  • Excellent time management skills and ability to multitask and prioritize work
  • Attention to detail and problem-solving skills
  • Excellent written and verbal communication skills
  • Strong organizational and planning skills
  • Knowledge of accounting, data, and administrative management practices and procedures
  • Knowledge of clerical practices and procedures
  • Knowledge of human resources management practices and procedures
  • Knowledge of business and management principles
